AI Notetaker

Have SalesCal join your calls, capture a transcript, and mark attendance automatically.

The AI Notetaker sends a bot named SalesCal Notetaker into your calls to capture what was said. When the call ends, a speaker-by-speaker transcript appears on the meeting and on the lead's record — no recording to watch back, no notes to type up.

Turning it on

The Notetaker is switched on per event, not account-wide:

  1. Open the event in the builder

  2. On the General tab, turn on AI Notetaker

  3. Save the event

Every meeting booked on that event from then on will get a notetaker, as long as the call is on a supported platform.

Supported call types

The Notetaker joins Zoom, Google Meet, and Microsoft Teams calls. It does not support phone calls or a custom/other meeting location — if you turn the toggle on for an event using one of those, the builder shows a note that the Notetaker won't join, and no bot is sent for meetings booked on it.

Joining the call

The Notetaker joins the call shortly before the scheduled start time, usually about a minute early, and waits in the lobby or waiting room like any other guest.

You need to let it in. Most video platforms hold new participants in a waiting room until the host admits them — the Notetaker is no exception. Admit SalesCal Notetaker the same way you'd admit any guest.

If it's never admitted, nothing is captured: there's no transcript, and the meeting's attendance is left untouched for you to mark by hand.

After the call

Once the call ends, the transcript appears in two places:

  • On the meeting — open the meeting from the Meetings page and look for the AI Notetaker section, with a Show transcript control

  • On the lead — a "Call transcript" entry appears in the lead's activity timeline, timestamped to when the call happened

Both show the same speaker-by-speaker breakdown. No audio or video is ever recorded or stored — only the transcribed text.

While the Notetaker is still working, the meeting shows a short status line instead of a transcript — for example, that it's joining, waiting to be admitted, or in the call now. If it wasn't admitted or couldn't capture the call, that's shown too, and there's simply no transcript to open.

Automatic attendance

When a transcript comes back, SalesCal checks who actually spoke against who was expected on the call (the host and the lead) and marks the meeting Completed or No-Show on its own — you don't have to review the transcript just to update the status.

Marking a meeting Completed or No-Show yourself always takes priority. If you've already set the status by hand, the automatic check never overrides it.

Things to know

  • Rescheduling. If a meeting moves to a new time before the Notetaker has joined the call, the Notetaker follows: the one waiting at the original time is withdrawn and a fresh one is sent for the new time, with attendance auto-marked as usual. If it had already joined the call — or the call had already happened — that call's transcript is kept, no second Notetaker is sent to the new time, and attendance for the new time is left for you to mark by hand.

  • Cancelling. If a meeting is cancelled while the Notetaker is on its way or waiting to be let in, it withdraws and nothing is captured. If the call had already taken place by the time the meeting was cancelled, the transcript is kept and still shows up as normal.

  • Phone and custom locations aren't supported. Only Zoom, Google Meet, and Teams calls get a notetaker.

  • It joins early, not exactly on time. Expect the Notetaker in the lobby roughly a minute before the scheduled start, so it's ready to be let in right away.
